A Day in the Life of an Accounts Payable Uploads Rep

That’s Nice, But What’s the Job?

 

In short, as an AP Uploads Rep, you are responsible to upload a large volume of invoices from various sources into our financial systems on a daily basis.  In addition to handling daily AP tasks, this person also manages ad-hoc requests from internal business units as well as external vendors.

 

In long, our AP Uploads Rep, with direction from the Accounting Manager and the Uploads Team Supervisor, is responsible for processing large numbers of invoices at a time as well as performing other daily AP functions. In this role, you will:

  • Format and process incoming invoice uploads and reach out for approvals as needed
  • Upload unwinds, DAX check requests for AP Specialty daily, providing support as needed
  • Perform minor updates/fixes to upload templates and procedures as needed
  • Research invoices in limbo
  • Approve upload-related invoices to pay out as needed
  • Support the AP Specialty team with the processing of invoices through Verify
  • Work the monthly WCARD/VCC report
  • Audit the previous month’s invoices that came through Verify (on a rotating basis)
  • Respond to inquiries from upload-related vendors
  • Distribute mail to the AP Specialty team according to the weekly rotations
  • Distribute incoming statements according to designated alpha splits
  • Process all upload-related mail and incoming statements per the designated alpha splits
  • Complete various daily tasks (e.g. check run, check sorting) (on a rotating basis)
  • Provide Excel and basic SQL support to other members of AP as needed
  • Perform minor updates/fixes to SQL queries as needed

  • Excellent verbal and written communication skills. The ability to talk and write with confidence, charisma and competence for a wide variety of audiences including management.
  • A mind for the details.  Okay we know “detail-oriented” is on about every job description – but we really mean it! 
  • Agile in a fast-past environment. We move, and we move quickly.  Thriving in an environment that never stops, is a must.
  • Plays well with others.  You will be working in a high-functioning team environment.  We work together in order to win together.
  • Collaborative contributor.  You need the ability to coordinate and supervise staff while remaining an individual contributor to the team.
  • Intellectual curiosity.  Why? What? How?  Do you find yourself always wanting to learn more and broaden your knowledge base?  If so, this could be the role for you.
  • Works well in a time crunch.  There will be multiple time sensitive requirements and you’ll need the ability to meet deliverable due dates.

 

The Specifics.

  • A minimum of one (1) year experience in Accounts Payable
  • Advanced proficiency in Excel
  • Intermediate knowledge of Microsoft Office Suite
  • Thorough understanding of basic AP concepts and daily workflows
  • Understanding of the multi-team dynamic within AP operations
  • Demonstrated proficiency within the role with limited errors
